Eagle & Spear is proposing a long-term Estate Lighting Partnership that covers the full design, installation, adoption, protection and maintenance of Easthampstead Park’s external lighting. The partnership ensures every fitting across the estate continues to look immaculate, operate safely and present the hotel at its very best every single evening.

This approach protects the hotel’s £200k+ capital lighting investment, provides transparent open-book pricing for all additional fittings, and delivers a fully maintained, estate-wide lighting system under one accountable designer–installer–maintainer relationship.

The partnership proposal elevates the estate’s presence after dark, creating a warm, welcoming and distinctive evening identity.

A structured, long-Term Partnership

The partnership is built on a six-year cycle which mirrors the natural life of LED lamps, drivers and external architectural fittings. This cycle allows for deep maintenance, repainting, lamp replacement and targeted renewal of ageing assets at the right intervals, all under one consistent standard.

Six-Year Estate Lighting Cycle

Complete installation works across the estate, adoption and asset-tagging of existing fittings, establishing a full system baseline, and preparing all components for ongoing maintenance and future 5-star plan implementation.

Planned Preventative Maintenance 

Estate-wide planned maintenance including lamp replacement, cleaning, alignment, waterproof checks, vegetation management, and system optimisation to ensure consistent, compliant, and high-performing lighting throughout the estate.

Transparent, Open-Book Additions

Maintenance covers adopted existing fittings, with any replacements chargeable and clearly highlighted. New equipment for the estate is supplied at transparent trade cost, ensuring full clarity and accountability.

The fee covers the full scope of preventative and performance maintenance, ensuring the estate’s nocturnal identity remains consistent, elegant and WOW-ready every evening.

Asset Register

A full estate lighting asset register is created in Year 1. This includes:

• Type, wattage and beam angle
• Cable routes and transformer positions
• Lamp replacement date
• Maintenance history
• QR-code reference for guest-team reporting

QR-Code Reporting System
Every light fitting can be fitted with a discreet QR code. Staff scan the code, select a fault, and this feeds directly into maintenance scheduling.

Mobilisation Year 

Mobilisation and Full Adoption

The first year of this proposal focuses on mobilisation and the complete adoption of our 5-star lighting plan across the entire exterior lighting of the estate. This approach ensures that every area and zone is installed precisely according to the 5-star specification detailed in the plans. Each component will be professionally installed, commissioned, tested, and fully compliant, delivering a consistently high standard of illumination throughout Easthampstead Park. By structuring the rollout in this way, the estate benefits immediately from full coverage, complete compliance, and the long-term advantages of our expertly maintained, premium lighting system.

Existing External Lighting

Our service covers full servicing, maintenance, and asset-tagging of the existing external lighting. Any parts or replacement fittings required are chargeable and clearly highlighted as they are adopted into the maintenance scheme.

Seasonal & Event Lighting

This service includes programming and alignment of lighting for key seasonal events, including a pre-Christmas upgrade. Temporary festive lighting can be integrated seamlessly, to the scheme as we have allowed to future proof the installation (we have not allowed for the cost of the seasonal fittings).

Financial Summary

The proposed commercial structure is outlined below:

• Year 1 Mobilisation
40% upfront investment covering full installation, commissioning, adoption and asset-tagging of existing fittings, and establishment of the system baseline. Year 1 also includes one year of PPM at no additional cost.

• Years 2–6 Monthly Fee
A fixed monthly payment covering programme repayment, ongoing PPM, and finish allowances. Capital is recovered interest-free and collected via standing order, ensuring predictable cash flow and total budget certainty.

• Transparent Additions & Replacements
Any additions or replacements to existing lighting are supplied at trade cost and adopted into the maintenance scheme, with installation charged only—full open-book clarity.

• Optional Years 7–11 Cycle
An extended lifecycle option available to maintain performance, protect asset value, and keep the full estate lighting system consistent long-term.
